Code Clock Academy – Terms & Conditions
Last updated: October 2026
These Terms and Conditions apply to participation in Code Clock Academy.
Code Clock Academy is operated by Errol Martin trading as Code Clock. In these Terms and Conditions, “Code Clock”, “we”, “us” and “our” refer to Code Clock.
By registering a child or young person for Code Clock Academy, the parent or legal guardian making the booking agrees to these Terms and Conditions.
1. Code Clock Academy
Code Clock Academy provides face-to-face coding, programming and Computer Science education for children and young people through regular project-based sessions.
The initial Code Clock Academy operates at Breda Academy, Belfast, with separate Junior and Senior programmes.
Breda Academy provides the venue for the programme. The Code Clock Academy programme itself is organised and delivered by Code Clock.
2. Membership and Places
Places are subject to availability and may be limited to ensure an appropriate learning environment.
Unless otherwise stated at the time of booking, Code Clock Academy membership operates on a rolling monthly basis.
There is no requirement to commit to a full academic year.
Membership gives the registered student access to their relevant Academy programme and the sessions scheduled during their membership.
A student's place is reserved while their membership remains active and payments are up to date.
3. Academy Calendar
Code Clock Academy does not necessarily operate every Saturday of the calendar year.
The Academy operates according to a published programme calendar, which may include breaks for school holidays, Christmas, Easter, summer holidays, venue closures and other planned dates.
Membership fees reflect the overall Academy programme rather than the purchase of individual one-hour sessions.
Parents will be informed of the programme calendar and any significant changes to scheduled dates.
4. Fees and Payment
The applicable membership fee will be clearly displayed before a booking is completed.
The initial payment date, recurring payment amount and renewal arrangements will be shown during registration.
Where recurring payment is selected, the parent or guardian authorises Code Clock and its payment provider to collect the applicable membership payment until the membership is cancelled.
Code Clock will not increase an existing membership fee without providing reasonable advance notice.
If a recurring payment fails, Code Clock may contact the parent or guardian to arrange payment. Continued non-payment may result in the student's place being suspended or released.
5. Cancelling Academy Membership
Code Clock Academy is designed to provide parents with flexible membership.
Membership may be cancelled at any time.
To prevent another monthly payment being collected, the cancellation request must be received before the next scheduled renewal/payment date.
Once membership has been cancelled:
- no further membership payments will be collected;
- the student may normally continue attending until the end of the membership period already paid for; and
- payments already made will not normally be refunded simply because the student chooses to stop attending part-way through a paid membership period.
There is no additional cancellation fee and no requirement to pay for an additional month after cancellation, provided cancellation takes place before the next payment is due.
Cancellation may be requested through the online membership system, where available, or by contacting:
Code Clock will confirm cancellation by email.
6. Statutory 14-Day Cancellation Right
Where Academy membership is purchased online, parents will normally have a statutory right to cancel the service contract within 14 days after the day on which the contract is entered into. (Legislation.gov.uk)
If a parent expressly requests that Academy services begin during this 14-day cancellation period, Code Clock may begin providing the service.
Where services have already been provided following such a request and the parent subsequently exercises the statutory cancellation right, Code Clock may charge a proportionate amount for services already supplied, where the relevant legal requirements have been satisfied. Legislation.gov.uk
This statutory right is separate from Code Clock's normal rolling monthly cancellation policy.
7. Missed Sessions
Membership reserves a student's place within the Academy programme.
If a student misses a session because of illness, holidays, family commitments, sporting activities or other personal circumstances, the session will not normally be refunded, credited or carried forward.
Where practical, Code Clock may provide information or resources to help a student catch up with work they have missed.
8. Sessions Cancelled by Code Clock
Occasionally Code Clock may need to cancel or rearrange a session because of circumstances such as:
- instructor illness;
- severe weather;
- venue closure;
- technical or utility problems;
- health or safety concerns; or
- other circumstances outside our reasonable control.
Where a session cannot take place, Code Clock will make reasonable efforts to provide an alternative session, replacement activity or appropriate account credit.
Where Code Clock is unable to provide a reasonable replacement for a service that has been paid for, an appropriate proportionate refund or credit may be provided.
Parents will be informed of changes as soon as reasonably practicable.
9. Programme Content
Code Clock Academy provides a progressive programme that may include:
Programming • Python • C# • Game Development • Robotics • Physical Computing • Computational Thinking • Computer Science • Artificial Intelligence and related technologies
The precise projects, programming languages, software, hardware and technologies used may change as the programme develops.
Code Clock may adapt activities according to the age, experience and progress of students.
10. The Code Clock Progression Pathway
Students may progress through the Code Clock Academy Progression Pathway.
Progression is based on factors including demonstrated knowledge, practical skills, project work, independence, problem-solving and the ability to apply programming concepts.
Students progress at different rates.
Attendance for a particular period does not automatically guarantee progression to a particular Code Clock level.
Code Clock does not guarantee that a student will achieve a particular level, qualification or learning outcome within a specified period.
11. Behaviour and Conduct
Students are expected to:
- treat other students and staff with respect;
- follow reasonable instructions from Academy staff;
- behave safely;
- use computers and equipment appropriately;
- respect the school premises and property; and
- avoid behaviour which significantly disrupts the learning of others.
Where concerns arise, Code Clock will normally discuss these with the student and parent or guardian and seek to resolve the issue.
Serious or persistent behaviour which compromises the safety, wellbeing or learning of others may result in a student being temporarily suspended or, in exceptional circumstances, their Academy membership being ended.
12. Equipment and Damage
Students are expected to use computers, robotics equipment, electronic devices and other resources responsibly.
Normal wear and tear or accidental damage will be considered reasonably.
However, where significant damage to Code Clock or venue equipment results from deliberate or reckless misuse, Code Clock may discuss the circumstances with the parent or guardian and may seek reasonable repair or replacement costs where appropriate.
13. Personal Belongings
Students should avoid bringing unnecessary valuable items to Academy sessions.
Code Clock will take reasonable care but cannot accept responsibility for loss, theft or damage to personal possessions unless the loss results from circumstances for which Code Clock is legally responsible.
14. Health, Medical and Additional Support Information
Parents and guardians are responsible for providing Code Clock with information that is reasonably necessary for their child's safe and appropriate participation.
This may include relevant information concerning:
- medical conditions;
- allergies;
- medication;
- additional support requirements; or
- other circumstances which Academy staff should reasonably know about.
Parents should provide only information relevant to participation in Code Clock Academy and should inform Code Clock if important information changes.
Personal and health information will be handled in accordance with the Code Clock Academy Privacy Notice.
15. Illness
Students should not attend Academy where they are significantly unwell or where their attendance could create an unreasonable risk to other students or staff.
If a student becomes significantly unwell during a session, Code Clock may contact their parent, guardian or nominated emergency contact and request collection.
Where urgent medical assistance is considered necessary, Code Clock may contact the emergency services.
16. Arrival and Collection
Parents and guardians are responsible for ensuring that students arrive safely and at the appropriate time for their Academy session.
Parents should collect younger students promptly at the stated finishing time.
Code Clock must be informed of any relevant arrangements concerning collection or permission for a student to leave independently.
Code Clock may introduce age-appropriate arrival and collection procedures as required for safeguarding purposes.
17. Emergency Contact Details
Parents must provide accurate emergency contact details and ensure they remain up to date.
At least one appropriate adult should normally be contactable while a child is attending Code Clock Academy.
18. Photography and Video
Photography or video used for Code Clock promotional, website or social-media purposes will be managed separately from Academy membership.
Where consent is required, parents will be given a separate opportunity to provide or decline permission.
A child's ability to participate in Code Clock Academy will not depend on promotional photography or video consent.
19. Online Services and Third-Party Platforms
Academy activities may make use of appropriate third-party programming, educational and technology platforms.
These may include services used for programming, game development, physical computing, robotics and related activities.
Where an activity requires a student to create an individual account or requires personal information to be provided to a third-party service, Code Clock will provide appropriate information to parents where required.
Some services may also be subject to the provider's own terms and privacy policies.
20. Data Protection and Privacy
Code Clock processes personal information in accordance with applicable UK data-protection legislation.
Details of:
- what personal information we collect;
- why it is collected;
- how it is used;
- how long it is retained;
- third parties with whom information may be shared; and
- the rights of parents and students
are set out in the Code Clock Academy Privacy Notice available on the Code Clock website.
21. Safeguarding
The safety and wellbeing of children and young people participating in Code Clock Academy is a priority.
Students must follow reasonable safeguarding, behavioural and safety instructions provided by Academy staff.
Safeguarding concerns will be managed in accordance with Code Clock's safeguarding procedures and applicable legal obligations.
22. Changes to Sessions or Programme Arrangements
Code Clock may make reasonable changes to:
- instructors;
- rooms;
- session activities;
- software or technologies;
- timetables; or
- programme content.
Such changes may occasionally be required for educational, operational, safety or venue-related reasons.
Where a significant change materially affects the service being provided, parents will be informed and their statutory consumer rights will not be affected.
23. Changes of Venue
Where circumstances require it, Code Clock may need to move a session temporarily or permanently to another suitable venue.
Parents will be given reasonable notice wherever practicable.
If a permanent venue change would materially affect a parent's ability to use the service, Code Clock will provide an appropriate opportunity to cancel membership.
24. Liability
Code Clock will take reasonable care in providing Academy services.
Nothing in these Terms and Conditions excludes or restricts liability where doing so would be unlawful.
In particular, nothing in these Terms excludes or limits liability for death or personal injury resulting from negligence. UK consumer legislation prohibits a trader from excluding that liability. Legislation.gov.uk
Nothing in these Terms and Conditions affects a parent's or student's statutory consumer rights.
25. Breda Academy
Breda Academy provides premises used by Code Clock Academy.
Registration for Code Clock Academy creates a contractual relationship between the person making the booking and Code Clock, rather than Breda Academy, in relation to delivery of the Code Clock Academy programme.
Nothing in these Terms seeks to exclude any legal responsibility that may otherwise arise on the part of Code Clock, the venue or another party.
26. Changes to These Terms and Conditions
Code Clock may update these Terms and Conditions where reasonably necessary, including to reflect changes to:
- Academy arrangements;
- payment systems;
- legislation;
- technology; or
- operational requirements.
Material changes affecting an existing membership will be communicated with reasonable notice.
Consumer contract terms are required to be fair and transparent, and an unfair consumer term is not binding on the consumer. Legislation.gov.uk

We will aim to acknowledge and resolve concerns fairly and within a reasonable period.
